Green Cleaning Method

Hello everyone!

It’s hard to believe I’m writing this, but Happy November to you all. I’m excited to announce we are now offering Green Cleaning at Dallas Maids. To be honest, we’ve actually had it for some time but haven’t promoted it.

With our ever changing and often turbulent world, it seemed an announcement never quite well-timed. And then there was always the issue of effectiveness. While more eco-friendly, these naturally occurring cleaning options were rarely as effective as manmade cleaners when I first tested them over a decade ago. Over time though, changes and improvements have made Green Cleaning not only more effective, but more affordable.

Earlier this year we started offering Green Cleaning options to our customers. We’ve piloted the use of natural cleaners and have consistently gotten positive feedback. And we’ve found ways to offer Green Cleaning at no extra cost. Now that we’ve done it for a while, I’m comfortable telling all our customers that Green Cleaning is available if you’d like it.

What’s the catch? There isn’t one. Amazing right? All you need to do is ask us to use Green Cleaning options when we clean your home. Or, if you prefer, simply select the “Green Cleaning” option under “Select Extras” when booking new service online, or, if you’re one of our current customers (Thank you!), you can make this change in your account. Goodbye chemicals and hello natural solutions like white vinegar and Seventh Generation cleaning solution.

If you’d like to learn more about our Green Cleaning approach, you can check out this page on our website or read our article on our favorite eco-friendly cleaning products. Still got questions? Feel free to give us a call and we’d be happy to talk through your options. And to reiterate, Green Cleaning doesn’t cost one Lincoln penny more. That’s the same great clean with no manmade chemicals at no extra cost. Interested? Let us know and we’ll be happy to make the switch.

All my best,

Greg

Dallas Maids - Dallas Maids, a Socially Responsible Business

Being a socially responsible business is a lesson learned at Baylor University, one I hold close to my heart.

Through the years Dallas Maids has actively sought ways to positively impact our community. Here is a list of the more recent ways we have given back:

1) Free Cleans for First Responders during the Pandemic (2020 to present)

Dallas Maids is offering free home cleanings for Dallas area first responders during the Covid-19 pandemic. Coming home to a clean home is a stress reliever. We wanted to serve our public servants by lessening their stress while they were serving our community during extraordinarily difficult times.

The inspiration for donating free cleans came from the generosity of our own customers. When Dallas Maids lost half their business after the shelter in place order, many of our customers came through for us; they kept paying for service after canceling! This deeply touched all of our hearts at Dallas Maids.

A few local media outlets, including Fox 4 News, picked up the story on Dallas Maids’ free cleans for first responders.

2) Easing Recovery for Women with Cancer (2014 to present)

Since 2014, Dallas Maids has been helping women with cancer ease their recovery by providing free house cleanings. We donate free cleans a couple of times per month through our charity partner, Cleaning for a Reason.

3) Raise Money for a Colleague’s Daughter’s Cancer Treatments (2020)

Juno is the daughter of Laura, a friend, and fellow business owner. Juno was diagnosed with leukemia on 11/12/2019. Laura was struggling to raise six figures in medical expenses. I (along with other owners) was deeply saddened by their struggle. We couldn’t help but help in some way.

We organize Juno Summit, a cleaning conference where the aim was to raise money for Juno’s medical expenses while sharing our knowledge with other owners.

Per junosummit.com:
“In 2018 Laura pulled together a group of the largest and most successful cleaning business owners in the country to create a Mastermind Group to help each other to grow their business to the next level.

It was kicked off with an invite-only conference in Fort Collins, CO called the Native Genius Summit. She did this 100% at her own cost and just because she wanted to be in a room with some of the smartest business owners she knew.

When this happened to Laura we wanted to help her as much as she has helped us. We decided to offer this event as a way to raise funds to help Laura and Juno with their battle.”

At $3000 per ticket, the money raised put a major dent in the expenses. It has been a relentless struggle though recently Juno has had promising signs of improvement. May she beat this.

4) Helping Fallen First Responder’s Families (2019)

The Listeners Foundation, founded in 2002, started providing financial aid to families of Dallas police and firefighters killed in the line of duty. In 2019, Dallas Maids partnered with The Russ Martin Show Listeners Foundation by donating a portion of our company’s proceeds.

5) Giving to God’s Chosen People (2021)

In May 2021, Dallas Maids pledged to donate $5000.00 to the Jewish Federations of Greater Dallas Community Foundation. Per their websites, the “programs funded by the Jewish Federation of Greater Dallas create life-sustaining and life-changing impact.”

They also strive to inspire and engage “our Jewish young adults through networking, education, and philanthropy.”

6) Building Up Other Maid Services by Sharing Knowledge (On-going)

I was blessed to have local owners share their advice and knowledge with me when starting out. They helped Dallas Maids to succeed. Now, when other owners approach me for advice, I share the Dallas Maids’ knowledge because it is a privilege to pay it forward.

Having taken many calls over the years from owners, my assistance is always Free. Well, except for traveling expenses if they flew in to meet personally or attended the Juno Summit (and that was a for a good cause).

In addition to calls, we have shared many of the secrets which make Dallas Maids successful on the business advice section of Dallas Maids blog, among other places online such as 6 Principles for a Perfect Cleaning Business, Podcast on How to Clean Up Your Business, and the “P.S. Note to the aspiring maid service entrepreneur” near the bottom of What Sets Us Apart page.

Dallas Maids has a proven business system. I’m happy to share it with others because It’s my little way to positively impact my industry.

Dallas Maids - How to Hire House Cleaning Professionals

Hello and welcome back to Dallas Maids! As a well-stablished house cleaning service in Dallas, we constantly get asked how to hire house cleaning professionals. Here’s our secret!

Hiring is the single, most common challenge I hear from other house cleaning companies. After all, finding the right people is everything in the cleaning industry along with most industries. They are the ones that can determine if you have happy or unsatisfied customers, if you have 5-star or 1-star ratings online, if you succeed or fail.

Therefore, hiring is one of the most important aspects of running a successful maid service. Finding the right professional home cleaners is one of the reasons why I have been able to grow Dallas Maids to a million-dollar company.

I’ve previously shared briefly how we hire cleaners. However, I thought to go more in-depth and share with you some more of our secrets on finding top talent.

Considerations

When hiring cleaners there are few things you should consider when seeking house cleaner applicants. At Dallas Maids we look for candidates that have 1) stable work history, 2) a good work ethic, and 3) a good heart.

Job Stability

We want workers that will be with Dallas Maids for years to come. Therefore, we look at their job stability; we want people that have stayed at their job for years, not weeks. So, if there is any sign they are job hoppers, then they are out.

Having your cleaners with you for years is important for several reasons. First, your clients form relationships with your workers. They become part of their family. Second, they learn how to clean the home. Every home has a cleaning learning curve. Surmounting that curve allows your cleaners to maintain, even increase quality. Third, turnover is expensive. It is much cheaper to pay your performers above average pay and treat them with respect than to have a revolving door. Finally, low turnover equals less headache because you have long term employees providing superior service for their clients while you not wasting time on constantly hiring.

Good Work Ethic

Good work ethic goes without saying. You need your people to go above and beyond to make their customers happy. On a side note, I highly recommend for you to base your cleaner’s pay on their performance. We use feedback from our customers along with other factors to determine bonuses per pay period, raises, and choice of jobs. So this pay by performance in conjunctions with hiring the right people will make you the most award winning maid service in your city.

Good Heart

In addition to looking for a good work ethic, you must look for a good heart. You can’t hire one without the other! Especially in the house cleaning industry where your customers are entrusting you with their biggest investment; their home. At Dallas Maids, we take great pride in our people who all are good souls. Not only does it uplift the energy among the co-workers and in the office, our customers do not need to worry about things missing – theft is not an issue at Dallas Maids!

Job stability, good work ethic, and a good heart; these are the factors we prize. On the flip side there are things we try to avoid when hiring. First, never hire under pressure. It’s best to lose business then gain the wrong worker.

Second, never hire a person that has cleaned for themselves because they will be more likely to poach your customers. Third, never hire “down and out” folks. It’s a sign they have an inability to keep their life together, much less their job. Finally, and I repeat, never hire job hoppers!

WHERE TO LOOK

Job Ads

Where you choose to place your job classifieds will be determined by your locations as each city has various mediums unique to the city. The trick is to place classified ads in every medium you can find and determine which medium is most effective. Once you find the most effective medium that produces the best candidates then throw most of your money into advertising there. For example, in Dallas after trying a plethora of mediums we found Univision, the local Spanish TV station, ads they place during the news hour on TV brought in ton of calls from solid, cleaning applicants. So, this has been our go to for years. Though once you find the optimal medium to place job classifieds, don’t stop testing other sources. Things change, new mediums appear or other mediums gain in popularity. Test. Test. Test. Keep testing for the best mediums.

Employee Referrals

Good people tend to know other good people. So, take advantage of that! Offer a referral fee for your current employees if they refer a job candidate. At Dallas Maids we offer our cleaners a $300.00 referral fee if someone they recommend was hired and had been at our cleaning service for 6 months. Not only is this a great way to find great cleaners, it’s a way to reward your people and avoid the headache of trying to find quality people yourself.

Wherever we find the candidates, we ensure to indicate in the job ad the salary along with a few requirements such as owning a car, having a driver license and auto insurance. We also include a phone number where they can call for a quick phone interview. Knowing we will have hundreds of candidates calling in, we choose a phone number other than our main line because that line needs to be clear for clients. Otherwise its total chaos. You may want to consider hiring a virtual worker to field the calls (along with many of your other routine tasks).

INTERVIEWS

Phone Interview

The purpose of Dallas Maids’ phone call is to find ANY reason NOT to hire. The short, 5 minute interview consists with all our deal breaker questions. The most common deal breaker questions are at the top because we want to end the call as soon as possible if this is not a good match for the job candidate. Why waster their (and your) time?

Approximately 4% make it through the phone interview and receive an invitation for an in-office interview. If they make the cut, make sure you tell them why… they need to know why they are a great candidate and why you would love to have a chance to work with them.

Office Interview

An office interview is a chance to get to know the candidate on a more personal level. From Dallas Maids’ hiring procedures: “The personal interview should have a more relax style; more conversational. You want the candidate to be more relaxed so they can open up and tell you more about themselves. The starter questions you will use to help the applicant talk about themselves are called “behavioral based” questions.

You will pose questions or situations and ask the applicant to describe how they would act or react in that situation. During the response, you are listening for how the applicant has “behaved” in the past and making some judgments about how this past behavioral pattern will probably play out in a future job with Dallas Maids.”

In-Field Interview

You have what seems to be the perfect job applicant. But one crucial factor is not knowing how will they actually perform on the job until you hire them… so before you hire them as an employee, have them go out with one of your teams on what we at Dallas Maids call an “Audition”. We pay them for the day as an independent contractor so one of our top cleaning teams can evaluate their performance. This is incredibly insightful into their potential. It also has lessened our training period from 1 to 2 weeks to 1 to 3 days while increasing retention (because we won’t have to let them go if they turn out not talented for the job).

Rejection Letter

Some candidates won’t make the cut. If they have made it to the Office Interview or the In-Field Interview and don’t make it, they deserve a letter notifying them. Being denied a job is incredibly hard. So, ensure the letter should include positives. Here is a sample of what we use:

[Dallas Maids’ letterhead]

[Applicant’s address]

Dear [Applicant’s name],

Thank you for interviewing with me [Day of interview] for the Professional House Cleaner position. I’m sorry to inform you that another candidate was chosen.

Selecting a final candidate was especially difficult because of the number of well qualified candidates that applied. Our choice in no way reflects upon your excellent skills and abilities. Indeed, you had [Insert genuine compliments about the applicant here]. Unfortunately, there was only one position available.

Again, thank you again for your interest in Dallas Maids. Best wishes for a successful job search.

Sincerely,

[Interviewer’s signature]

[Interviewer’s printed name]

Background Investigation

It’s a given to check professional references and criminal background. But also evaluate their personality by having them complete a DISC assessment. As mentioned earlier, you want cleaners with a good heart, not only a good work ethic.

At our cleaning company we use the Orion Survey by The Steering Group. These surveys provides insights such as how the candidate will get along with their peers, management, how hard they will work and – very important – the chance they may steal from your clients.

Conclusion

This is the general overview Dallas Maids finds award-winning cleaners. Hope this helps you with your hiring process and finding qualified candidates for your home cleaning business. Though the process does not stop here.

You will need to develop a robust training program and periodical performance evaluations. Ensure the pay and rewards are based upon performance because you want to keep your best people.

Finally, if I could sum up our entire hiring process, we look for two things: a good work ethic and a good heart. You can’t have one without the other!

Customer compliments range in from 1 to 2 points. Most will be one point. If the compliment is exemplary, then the employee receives 2 points. For example: “this is the best cleaning we ever have had!” would be 2 points.

If they have a customer cancelation due to bad service the entire bonus is removed.

Customer complaints we remove points depending on the severity of the complaint removing -1 to -5 points.

We also remove pts if we they are not following procedure (for example: not wearing uniform, arriving late, does not follow directions out in field, not turning in daily routes/key/payments etc).

Christmas Bonus

Employees receive $25 for each full quarter they have been employed up to $400.00. After $400, employees earn $25 for each year worked.

For example, is an employee has worked at Dallas Maids for 2 full years, then their bonus would be $200.00 ($25x8quarters).

If the employee has worked for 5 full years, then their bonus would be $425.00 (($25×16 quarters)+($25×1 year)).

Profit Sharing

Profit sharing is available for key employees. An employee earns profit sharing after each full quarter they have been employed.

Profit sharing is calculated by a percentage of total profits, paid out at the end of the quarter.

Employee’s Day Off

Record days off on Google docs while logged in on Chrome.

  • Login: xxxxxx@dallasmaids.com
  • Go to: https://docs.google.com/spreadsheets

Vacation

We require staff to submit Vacation Days at least 30 days in advance. Absences are automatically deducted from vacation days.

Office Staff

  • Only one staff member can take vacation at a time in order to avoid being short staffed in the office.
  • Two (2) weeks paid vacation per year (10 days) after 6 months of employment.
  • Three (3) weeks paid vacation per year (15 days) after 5 years of employment.
  • Four (4) weeks paid vacation per year (20 days) after 10 years of employment.
  • Vacation days may be restricted to non-busy times of the year. Days around busy periods may be excluded such as Christmas, Thanksgiving, etc.
  • The employee may use the day as they please such as vacation, illness, and doctor’s appointments.

Team Members

  • Must have been employed by Dallas Maids for one full year.
  • Vacation days start accruing on January 1st after one full year of employment.
  • One additional day of vacation is accrued every year thereafter.
  • All days are replenished on January 1st of each year.
  • Amount to be paid for each day of vacation is employee’s percentage multiplied by 2. Therefore, an employee making 34% will have $68.00 per day of paid vacation (34 x 2 = 68).
  • Vacation days are restricted to non-busy times of the year. Days around busy periods are excluded such as Christmas, Thanksgiving, etc.
  • The employee may use the day as they please such as vacation, illness, and doctor’s appointments.

For example, we’ll use an example of an employee, who started in October, 2008. One full year of employment would have been October 2009. The next January 1st was 2010. Therefore, she has 2010, 2011, and 2012 for 3 days of paid vacation. On January 1st, 2013, she’ll start with 4 days.

Dallas Maids - Dallas: The City of Random Acts of Kindness

We love random acts of kindness. We are thrilled and thankful for D Magazine announcing Dallas Maids’ First Responders Fatigue Relief Fund on dmagazine.com.

The fund was inspired by the generous acts of our customers during the Covid-19 pandemic. Fearful of having anyone in their home, many canceled service yet still wanted to keep paying just to support our small, family-owned business.

We wanted to pay it forward by donating their home cleanings to first responders.

On May 19th, 2020, D Magazine wrote:

Dallas: The City of Random Acts of Kindness, Pt. 12

Though Dallas Maids has been a thriving cleaning service for 16 years, its future looked grim when the shelter-in-place order took effect. Residential cleaning services were deemed essential businesses, but the company’s owner, Greg Shepard, knew that many of his regular customers wouldn’t feel comfortable having someone visit their homes.

Though cancellations rolled in “like an avalanche,” says Shepard, he and his team were touched when many customers insisted on paying anyway to support the small business. Others kept their appointments and added generous tips.

“[Our customers have] shown that the worst of times brings out the best in people,” says Shepard. “I want to pay this generosity forward by providing our local area first responders with free home cleanings [to lessen] their stress.”

Dallas Maids’ First Responders Fatigue Relief fund provides complimentary home cleaning services for the first responders working to fight COVID-19. The fund also ensures that the company’s professional cleaners receive their regular pay. Customers can choose to donate their scheduled cleanings to first responders by continuing to pay their regular rates. Non-customers can help, too: donate here, share the link with friends, and let first responders know about the opportunity.

Free cleanings are available to medical professionals (paramedics, doctors, nurses, hospital and medical staff, and medical researchers), police officers, and firefighters. Shepard and his team hope that the cleanings will help front line workers decompress. A clean and tidy home is beneficial for both physical and mental well-being, says the company.

What: Free housecleaning for first responders – Donate a home cleaning to a first responder AND help a local cleaning company (Us!) keep their staff employed.

When: From now until donations run out.

Where: To help our first responders in Dallas, please donate here. We are expecting more demand than donations can accommodate. So any amount helps!

Why: Many of our amazing clients are still paying after cancelling service to support our small, local cleaning business. We are paying their kindness forward to first responders by donating free housecleaning.

Why We’re Doing This

My name is Greg, President of Dallas Maids residential cleaning company. We have been in business for 16 years and for 16 years have been adding happiness to Dallas families’ lives by removing the tedious chore of cleaning. Now, Dallas families are adding to our happiness.

To say this pandemic has been hard on small businesses is an understatement. At first, we had a few cancellations trickle in. Our cleaning staff expressed surprise that their checks were not affected as much as they had expected. Then Dallas County Judge Clay Jenkins issued an order for all non-essential businesses to closed down Monday at 11:59 pm, March 23rd. Residential cleaning services were deemed essential businesses. We could stay open for business. Initially I was optimistic.

Yet times are uncertain and the media sounds scary. People are fearful of the coronavirus, fearful of the looming recession and possible depression. The trickle of cancellations transformed into an avalanche.

Faced with what seemed the imminent demise of a cleaning company I had loved and labored so hard to build over the years, something amazing happened…

Our Customers Came to Our Rescue!

Some cancelled service yet volunteered to keep paying so our professional cleaning staff had income and Dallas Maids could continue to operate. Others offered generous tip to help staff weather this pandemic storm. All of us at Dallas Maids are overwhelmed with the love flowing in.

I’m so grateful the Dallas Maids family feels this support during times like these. We need it. It gives us hope. This P.S. I wrote in an update for our amazing customers expresses what we all feel at Dallas Maids:

P.S. Our hearts have been profoundly touched by some of our wonderful customers who have decided to temporarily cancel service yet still pay because they cared deeply for their cleaners and our local, family owned business. You are absolutely amazing! And as I type this, tears are swelling up. You are making an immense difference during these difficult times. From the bottom of our hearts, THANK YOU!

I cannot thank our amazing customers enough for their help. You’ve shown the worst of times brings out the best in people! I want to pay this generosity forward…

Free Housecleaning for First Responders

Overcome with our client’s kindness, we are now paying it forward. Using the funds of customers still paying after cancelling along with donations, Dallas Maids is now offering free cleans to first responders.

Are You a First Responder?

If you are a healthcare worker or first responder, thank you for the work you are doing to keep us safe during the coronavirus pandemic. Dallas Maids would like to lessen your stress by offering a free clean. Just call or email us.

First responders requesting a free clean, please note:

green dot Be prepared to submit a photo ID from the place of employment in order to schedule your free home clean (e.g. Police Officer ID not the Police Officer’s driver’s license).

green dot Free cleans are on a first come, first serve basis, provided as long as donations last.

green dot First responders are defined as medical professionals (e.g. paramedics, doctors, nurses, hospital and medical staff, medical researchers), police officers, and fire fighters.

Thank you for your service and for giving us a chance to serve you!

The Science Is Clear: A Clean Homes Relieves Stress

Your donation helps our fatigued first responders relieve stress by providing them a clean home. A University of California study has concluded a connection exists between clean homes and your mental health. Evidence in the study demonstrates a decluttered and clean house reduces cortisol levels.

In addition to better mental health, the benefits of a clean house also helps your physical well-being. NiCole R. Keith, Ph.D., research scientist and professor at Indiana University, determined people with clean houses are healthier than those with unkempt homes. They actually found clean home environments were a bigger predictor for physical health than neighborhood walkability and other factors.

Thank you for your donation. It will offer much needed mental and physical stress our first responders are enduring during the pandemic.

We are all overwhelmed. People are scared. And people are supporting each other, even a small family-owned company like Dallas Maids. It is a privilege to pay forward the generosity. We are all in this together!

Dallas Maids - Notice to Our Amazing Customers! Preventive Measures

We know, the times are uncertain and the media sounds scary, but the viruses and bacteria do not read the news and they keep multiplying and clinging to the grime and grease in your home.  The solution is to clean more, not less.  Professionally, not haphazardly.

Here at Dallas Maids, we have taken drastic preventive measures to protect you and our staff from COVID-19 and the flu. Our strategy is outlined in our thoroughly researched and doctor reviewed/approved Dallas Maids Coronavirus and Flu Policies and Procedures.

Please share the procedures with anyone that may be able to use them to protect their own employees and customers. We are all in this together!

Also, we need your help!

We will waive the cancellation fee for all suspensions related to anyone in the client’s home being sick. Further, please note the following rules of prevention.

Dallas Maids’ Preventive Measures

  • We will not send a professional home cleaner with symptoms of coronavirus or flu into a client’s home. We will offer re-scheduling to another cleaner on a mutually convenient date when possible.
  • To protect our employees and other clients, we will not clean homes if anyone in the home is sick or showing flu-like symptoms. Please contact our office by phone of email as soon as possible when cancelling due to illness.
  • Professional home cleaners will wear a mask if requested.
  • Professional home cleaners must sanitize their hands before entering the home and wash with soap and water upon entering and departing home.

Finally, we will help you combat the viruses and bacteria via our new procedures and introducing Vital Oxide to our arsenal. It is our professional-grade, EPA-registered hospital disinfectant, killing 99.999% of corona-family viruses.

This service is free for our customers and will be available as soon as we receive special ordered supplies (probably next week). Please call and let us know if you would like this extra.

Thank you so much for giving us a chance to help protect you and your family!

Dallas Maids - Dallas Maids' Procedures and Prevention Measures to Fight Coronavirus

We’ve decided to share our procedures and prevention measures for anyone that wants to use them to protect employees and customers.

Dallas Maids is now offering complimentary high-touch sanitation with any cleaning to all of our customers. In addition to our regular cleaning, we will specifically disinfect ALL areas of your home that are most frequently touched. This includes door handles, drawer pulls, light switches, and remotes.

You’re not alone.  We will help you combat the viruses and bacteria, using Vital Oxide. That is our professional-grade, EPA-registered hospital disinfectant which kills 99.999% of corona-family viruses!

Even better, Dallas Maids’ regular cleaning protocols and standard operating procedures were always at the top of the industry standards for sanitation.

Our Procedures and Prevention Measures

  1. Our cleaners will go straight to your home in the morning, instead of meeting at the office like with most other employers. This will limit the number of people our cleaners encounter.
  2. We work predominantly in small teams of only 1 to 2 people. Each team usually only services 2 or 3 homes per day, further limiting human contact;
  3. We wear shoe covers, freshly washed uniforms; masks; and use fresh, professional grade micro-fiber cloths and surgical huck rags at each home.
  4. Offering flexible schedule and support our employees instead of penalizing them when they feel unwell and can’t work;
  5. We offer health and disability benefits to our staff unlike many other competitors;
  6. As part of our insurance, we carry 1 million in general liability insurance. If there is any damage or injury from our actions, you are protected.
  7. We do not require you to be at home when we clean. 6+ feet distance is a rule rather than exception; Overwhelming majority of our clients are not at home when we clean as our flat rates are conducive to that.
  8. We allow any client rescheduling of the cleaning without any penalty if there are any signs of any illness, even a cold.
  9. Our professional home cleaners are now required to thoroughly wash their hands with soap and water. First upon entering your home, and then upon departure.
  10. We have extensive experience cleaning for people with chemical sensitivity, elderly, post-surgery, and chemo-therapy patients through our chosen charity, Cleaning for a Reason.
